Five reasons to implement the right policies and procedures for your business

by , 13 December 2013
Before drawing up the policies and procedures for your business, you must first decide why you want to implement them and what their purpose in your business is. If you're having problems with this, read on to discover five reasons to implement the right policies and procedures for your business.

It's important you implement the right policies and procedures for your business.

Here's why…

Five reasons policies and procedures are important for running your business effectively

  1. They'll give you the guidelines to effectively deal with any disciplinary or performance-related problem;
  2. They provide a structured way for you to deal with issues raised by employees in a controlled, documented way before they escalate into bigger problems;
  3. They ensure you comply with your obligations to be fair and consistent while dealing with discipline, performance issues or grievances. And avoid the risk of disputes and being taken to the CCMA for unfair labour practices;
  4. To help you comply with your legal obligations under labour legislation; and
  5. Staff will have certainty in the workplace of what's expected of them and what consequences will follow if they disregard the company's policies and procedures.

The Labour Law for Managers Loose Leaf Service says once you have clear reasons for drawing up your policies and procedures, go back to these issues and make sure your existing policies live up to these objectives.

Another important question you must ask before you draw up policies is: What kind of workplace am I catering for?

You must take the following into account when setting up policies and procedures:

  • How many employees do you have?
  • What's their level of education?
  • Who are your managers and who do they manage?
  • Is your workforce unionised and, if so, what percentage?
  • Is there one workplace, or do you have multiple sites?
  • What kind of industry are you in?

The answers to these questions will help you decide:

  • What kind of policies and procedures you need;
  • How detailed or how simple they need to be;
  • If they need to have broad guidelines; or
  • If they must take employees step-by-step through exactly what to do in each type of situation.

Well there you have it. Taking all these factors into account will help ensure you have effective policies and procedures in place.
