Follow these three golden rules when you write your HR policies and procedures

 
#1: Use clear and simple language
 
Having HR policies and procedures no-one understands is useless, says the HR Policies and Procedures Manual.
 
Your employees will simply plead ignorance when you confront them about breaking your policy. And the CCMA could rule against you if there's a dispute. It could say, for example, your employee wasn't aware of the policy you say he broke.
 
To make sure everything is clear, use simple language. If possible, have copies in your employees' home language.
 
#2: Stick to what the law says
 
Your HR policies and procedures must be factual. Don't base them on opinions.
 
You must stick to what the relevant labour laws say. And obey trade union agreements that apply.
 
The last thing you want is to have HR policies and procedures that clash with certain agreements or laws.
 
You can, for example, have the BCEA on hand when you write about annual leave. It will guide you and make sure you stick to the facts.
 
There are also various Codes (for example, the Code of Good Practice on Handling Sexual Harassment Cases) to help you make sure everything is factual. Use them as a guide too.
 
#3: Pick the format that suits your business
 
Format options to consider include:
 
  • Standard forms;
  • Checklists; or
  • Step-by-step procedures.
 
The format you use can also help you make your HR policies and procedures easier to understand. And make sure you never leave anything out.
