What to consider when choosing a service provider to compile your Health and Safety legal register

You're legally allowed to contract an Occupational Safety, Health and Environment (OHS) service provider to compile your company's Health and Safety legal register for you. If you're going this route, be sure to consider the following factors...

If you're going to contract you company's legal register to a service provider there are some things you must know and consider first.

Consider the following factors when selecting a service provider to compile your Health and Safety legal register

The Health & Safety Advisor says when choosing a service provider, make sure:

  • They're legally competent (they need to possess a law degree).
  • They provide you with a copy of their company profile.
  • They provide you with the qualifications of the people doing the inspection and developing your legal register.
  • They give you proof of their registration as a service provider and the areas that apply to their competency.
  • Their competency includes Occupational Health and Safety, Compensation for Occupational Illnesses & Diseases as well as environmental issues.
  • Their service includes a hard copy legal register as well as an electronic version.
  • Their contract includes regular electronic updates (free of charge) for your company whenever the law changes.
  • They provide, free of charge, 24 hour IT support if you have any problems.
  • They provide user training for all employees working on the electronic system.

What are the costs when choosing a service provider to compile your legal register?

'The service provider should charge you a once-off fee and then an annual update fee for every year after that,' says the Health & Safety Advisor.

Keep in mind that you'll use your service provider's software programme for the legal register.

If you chose unwisely, another service provider may not be able to do anything on their electronic system if their software or system differs from the original contractor's. If this happens, you'll have to start all over again.

Don't take that risk. Consider all these factors when choosing a service provider to compile your Health and Safety legal register.
