Use your health and safety records to monitor your employees compliance... Here's how

by , 11 August 2014
If you took a look in your health and safety files today, what would you see?

Would you see an organised and well kept set of health and safety documents?

Or would you see a messy heap of papers?

Sadly, a lot of employers see the messy heap because they treat their health and safety records like a formality instead of to a necessity.

This is a big mistake. Those records are a vital part of monitoring your employees' compliance with your health and safety rules. Here's why...

Are you responsible for compiling your SHE file?

Are you struggling to keep up-to-date with all the paperwork?
Do you waste your time formatting all the documents?
Are you stressed out about all your legal requirements?
Of course you are. You have enough on your plate already, and keeping up with paperwork isn't on the top of your to-do list. But unfortunately, it's part of your job because it's a legal requirement. And, you've answered 'YES' to at least half of the questions above.

Without organised health and safety documents, you can't monitor your employees' compliance

You need to document every part of your health and safety programme. For example, you must have records of:
- Which employee you trained;
- Which employees have PPE;
- What PPE they have;
- The safety procedures you taught your employees; and
- The names of employees who must do specific safety duties.
All of these documents become very important when you do a safety inspection on your employees' compliance.

Here's what you need to do with your health and safety documents during a safety inspection

When you do a safety inspection on your employees, you need to compare what they do in real life with what they should do.
For example, if your documents say your employees have to wear certain PPE, you must check they're all wearing the right thing.
But if your health and safety records are a mess, you can't use them properly and you won't be able to find the documents you need to prove they're wrong.
So keep your health and safety documents up-to-date and store them correctly so that when it's time to do a safety inspection, you can find exactly what you need. It's one of the best ways to maintain compliance in your workplace.
